Spring is just around the corner and as we all know, it is the perfect time to deep clean, organise and let some fresh air into in your home. The same can be said for your HR! All the craziness from EOFY is behind us and now is the perfect time to straighten out your HR to ensure smooth sailing for the rest of the year.
Not sure where to start? Here are 5 steps to get you on your way:
Switch to Paperless
Storing information digitally can help clean up your processes by making it much easier to organise and retrieve data, not to mention literally cleaning up your office space and ridding it of physical files. If you haven’t already started to convert your paper files to digital ones, make this a priority on your spring cleaning checklist.
Update Your Employee Handbook
Employee handbooks should be updated at least once a year to ensure relevancy. All company policies and procedures should be detailed in the handbook, as well as your company mission and vision. When reviewing your handbook, it is imperative that it is in line with any legislative changes, both federally and at a state level.
Job Description Updates
Regular updating of job descriptions is often overlooked. Ask employees to review their job descriptions and note anything that needs to be updated. Top tip: how would you describe this job to someone who doesn’t know anything about it?
Prepare for Annual Leave Requests
Many employees take annual leave throughout the warmer months, so spring is the perfect time to ensure you have a good system in place for requesting and approving time off. If you don’t have enough staff to cover, now might also a good time to review your staffing needs and recruitment practices.
Actual Cleaning
Take this opportunity to literally clean and organise where you work. Some ideas of this might be:
- Have staff be responsible for their own workstations
- Sort through and clean out cupboards, cabinets and drawers
- Throw away any old or faulty stationary/equipment and replenish supplies
- Clean out the common fridge
- Tidy and declutter reception area
- Deep clean common areas, such as kitchens and hang notices urging staff to take care when using the area and to clean up after themselves
